Camp Policies

Eco Explorers is a week-long adventure in sustainability, weather, and energy, where science and art work side by side. Kids rotate roles as Eco Explorers, Weather Watchers, Energy Testers, and Studio Artists as they follow daily missions, collect observations outdoors, and turn what they discover into creative builds. This week is hands-on and heart-forward. We track the weather, test wind and sun, and explore how energy moves, then translate those discoveries into process art and recycled-material creations that feel big, collaborative, and full of pride. Expect bright creativity, proud hands, and learning that sneaks in through play: observation, inquiry, problem-solving, and confidence-building.

Kids aged 5-10 who love to mix, make, imagine, and get delightfully messy in the name of science and art.

  • Colour science through mixing, separating, transforming, and testing.
  • Kid-friendly potion experiments with wow moments and simple lab tools.
  • Process art such as bubble prints, marbling-style effects, and spin art.
  • Missions and scavenger challenges that unlock the day’s colour quest.
  • Two outdoor blocks every day for movement, testing, and fresh-air resets.
  • Montessori-style stations and pretend play roles.

Beam Summer Camps Policies & Terms

These policies apply to all Beam Play Studio Summer Camps (“Beam Camps”), including any pop-up camps, day camps, and special themed weeks operated by Beam Play Studio (the “Studio”). By registering your child for a camp, you agree to the policies and terms below.

Beam camps are designed to be playful, creative, and hands-on. We aim to provide a safe, supportive environment where children can build confidence through making, experimenting, moving, and learning together.

1) Registration & Payment

  • Camp spots are limited and are filled first-come, first-served.
  • Registration is not confirmed until full payment is received (unless the Studio has explicitly offered a payment plan in writing).
  • Your registration is for a specific week and may not be held without payment.

2) Cancellation & Refund Policy (Pop-Up Camps)

We understand that plans change, summer schedules can be unpredictable. Because Beam camps are offered in a limited-capacity, pop-up format, we purchase materials, staff the program, and reserve space based on registrations. For that reason:

All camp registrations are non-refundable

  • No refunds are available once a registration is completed.
  • No credits are available for missed days due to illness, vacations, work changes, appointments, or other schedule conflicts.
  • No partial refunds are provided for late arrivals, early pickups, or missed portions of the camp week.

Compassionate Considerations

We understand that unexpected, serious situations can happen. If you experience a compassionate circumstance, please email us as soon as you are able with your child’s name, camp week, a brief explanation, and any supporting documentation if available.

Because our camps have limited pop-up capacity and we plan staffing and materials in advance, registrations are non-refundable. We may, at our discretion, offer a credit toward a future Beam program, but there are no guarantees that a refund or credit will be issued.

3) Drop-Off & Pick-Up Policy

Camp Hours

  • Monday–Thursday: 7:30am–5:30pm
  • Friday: 7:30am–3:30pm (early pickup day)

Drop-Off

  • Please arrive during camp hours and ensure your child is checked in with staff.
  • For child safety, children may not be dropped off outside of the scheduled hours unless the Studio has confirmed an arrangement in advance.

Pick-Up

  • Children will only be released to approved pick-up persons listed in your registration information.
  • Government-issued ID may be required at pick-up.
  • If someone new is picking up your child, please notify the Studio in writing ahead of time.

Late Pick-Up Policy

We know delays happen. Our team is staffed specifically for camp hours, so late pickups impact safety, staffing, and the end-of-day routine for kids.

Late fee
Pickup after closing time will be charged at $5 per minute, due at pickup.

If you are running late
Please contact us as soon as you can so we can support your child and plan accordingly.

Escalation if we cannot reach you
If a parent or guardian cannot be reached within a reasonable time, we will call the emergency contacts listed on your registration form. If we are unable to reach any authorized contacts and a child remains onsite well past closing, we may contact appropriate local authorities to ensure the child’s safety.

4) Food & Snacks (Provided by Families)

Beam Camps do not provide meals or snacks. Families must send:

  • lunch
  • two snacks
  • water bottle

Please pack food your child can manage independently.

Allergy Awareness / Nut Policy

Beam strives to be allergy-aware. If your child has allergies, please include details during registration and remind staff at drop-off.

Depending on the group’s needs, the Studio may request that the camp operate as:

  • nut-aware, or
  • nut-free for a specific week

If a nut-free week is required, families will be notified prior to camp start.

5) Clothing, Outdoor Play & Personal Items

Clothing

Camp is hands-on and sometimes messy.

  • Dress your child in clothes suitable for paint, glue, water play, and outdoor exploration.
  • Closed-toe shoes are recommended for active play and building activities.

Outdoor Time

Camp includes daily outdoor time (weather permitting). Please pack for:

  • sun (hat, sunscreen applied before camp if possible)
  • wind/rain (light jacket)
  • seasonal conditions

Personal Items / Valuables

Please keep valuables at home. Beam Play Studio is not responsible for lost, damaged, or stolen personal belongings.

6) Personal Devices (Phones, Smartwatches, Tech)

We strongly encourage children to leave personal devices at home.

If a child brings a phone or device:

  • it may be stored by staff during the camp day, and
  • returned at pick-up.

Beam is not responsible for loss or damage of personal electronics.

7) Safe Space Policy (Behaviour & Participation)

Beam Play Studio is a creative environment that supports:

  • learning through play
  • healthy risk-taking (within reason)
  • collaboration and conflict resolution
  • respectful communication

Safety expectations

It is never acceptable for a camper to:

  • intentionally harm themselves or others
  • threaten or intimidate others
  • use persistent inappropriate language toward others
  • damage Studio property
  • leave the supervised area or refuse staff direction in a way that creates safety risk

Campers must be able to follow basic safety instructions and participate safely in a group setting.

When behaviour becomes unsafe

If a camper’s behaviour is unsafe or significantly disruptive:

  • staff will intervene using age-appropriate strategies (redirection, calm-down tools, space, restorative conversations)
  • parents/guardians may be contacted for support
  • the camper may require early pick-up

In the event of repeated unsafe incidents, the Studio may determine that the camper:

  • must be picked up early, and/or
  • may be asked not to return for the remainder of the camp week

No refunds or credits are provided in these circumstances.

Incident reporting

Incidents may include (but are not limited to): hitting, pushing, biting, shoving, repeated refusal to follow safety direction, elopement (running away), threats, or property damage. Beam staff will use professional discretion to determine severity and required response.

8) Sickness Policy (Please Do Not Attend if Unwell)

To safeguard the wellbeing of all children and staff, our philosophy is that everyone has a right to a camp environment that supports health and participation. If your child is not well enough to fully take part in camp, they should remain at home.

Children must be kept home if they have:

  • fever (or feel feverish)
  • vomiting or diarrhea
  • a new or unexplained persistent cough
  • rash of unknown origin
  • symptoms that prevent them from participating comfortably in camp

If a child becomes ill during camp

If staff determine that a child is showing symptoms outlined above:

  • parents/guardians will be contacted and asked to arrange prompt pickup
  • if a parent/guardian cannot be reached, the emergency contact may be called

Return to camp

Children may return when they are:

  • symptom-free and well enough to participate, and
  • have been symptom-free for 24 hours (without fever-reducing medication)

Refunds for illness

There are no refunds or credits for missed days due to illness.

 

9) Medical Needs, Medication & Allergies

  • Please disclose relevant medical needs and allergies at registration.
  • If your child requires medication (including epinephrine auto-injector), this must be communicated to the Studio in advance.
  • Staff can support reasonable safety plans; however, Beam is not a medical facility and cannot provide one-to-one medical care.

If your child requires intensive support beyond typical camp staffing ratios, please contact us before registering to confirm whether we can safely accommodate.

10) Photos, Video & Marketing Use

Beam may capture photos or short videos of camp activities for internal use or marketing (website/social media). If you prefer your child not be included:

  • indicate this at registration, and/or
  • notify the Studio in writing.

We respect family privacy and aim to share content responsibly.

11) Liability Waiver & Assumption of Risk 

Beam camps include activities such as:

  • crafting and building with tools/materials appropriate to age
  • outdoor play and movement games
  • experiments, water play, and sensory activities
  • nature collection and exploration

All of these carry normal, reasonable risks (for example: minor scrapes, slips, or accidental spills). By registering, you acknowledge that:

  • participation involves inherent risks,
  • you accept these risks on behalf of your child, and
  • you release Beam Play Studio, its staff, contractors, and representatives from liability for typical incidents that may occur during reasonable camp activities, except where prohibited by law.

Parents/guardians are responsible for ensuring their child is healthy enough to participate and for providing accurate registration information as well as signing a full Waiver, Release of Liability, Assumption of Risk, Indemnity, and Medical Consent.
